Terms & Conditions

Please read carefully .

The purchase of any travel services offered by ACT constitutes a contractual arrangement between you and ACT and represents your acceptance of ACT Terms of use set out herein. Please ensure that you read carefully and understand these Terms & Conditions prior to booking.

Enquiries and reservations are made to our headquarter office in Hanoi or authorised sale agents inside Vietnam and outside Vietnam. Please provide us with full information such as arrival/departure dates, flight details, number of persons traveling, tour description and category of hotels, to assist us in fulfilling your requirements.

Booking your holiday:

Our quotes - will be provided in relation to a price for the Travel Arrangements. The quote is valid for a period of 7 days.

Deposit and Final Payment:

After receiving our confirmation, a 20% (twenty percent) deposit of total tour cost is requested.
We accept checks, cash, credit card (Visa or Master Card), bank transfer, western union. Your payment is not deemed made until it is received by ACT Travel. A non-refundable deposit of 20% is required for us to reserve space for you, final payment is due 12 days prior to the commencement of services. If we do not receive final payment by the due date, we reserve the right to cancel the reservation. In the case of billing errors, we reserve the right to reinvoice with correct pricing. Payment in full is required at time of booking for reservations made within the final payment date.

Note: In cases where credit facilities have been agreed with the Client/Agent, payment shall be executed by swift or telegraphic transfer to the ACT Travel account or authorised person. Please note that 3% bank charge will be added to payment in credit cards.

Cancellations and Cancellation Fees:
All cancellations must be received in writing, sent to us via fax or email. The following rules apply for cancellations:
If cancellation is received by ACT before the final payment date, your non-refundable deposit and Travel Protection premiums will be retained in addition to any air cancellation fees or penalties. For individual reservations, the following per person cancellation fees apply. Total price does not include discounts, promotions.

General Cancellation Fees:
40 Days before trip : 50% will be refunded.20 Days before trip : 40% will be refunded.15 Days before trip : 30% will be refunded.No refund for cancellations within 12 days before departure ( total payment of tour cost).

If flight changes, including flight cancellations, are requested revision fees or airline cancellation fees will apply. If an air-inclusive vacation is canceled after air tickets have been issued, refunds will be processed after air tickets are returned to ACT Travel. ACT reserves the right to cancel or re-schedule any vacation departure. If cancellation is made prior to departure, the only responsibility of ACT will be to refund to the passenger the amount we have received for the reservation. We will try to re-book the same vacation with a different departure date, or a similar vacation. Where ACT has confirmed flights, we will try to confirm air schedules for the selected new dates, subject to availability. ACT Travel cannot assume responsibility for any additional costs or any fees relating to the issuance and/or cancellation of air tickets or other travel arrangements not made through ACT Travel.

Surcharges:
During local or national holidays or special events: On Christmas, New Year, Lunar New Year's Eve... our tours, vacation, reservation...add charge of 25%. The price of the Travel Arrangements is subject to the possibility of surcharges. Surcharges may be incurred (without limitation) in connection with: currency exchange rates, increases in Product prices, fuel levies, scheduled airfares, hotel and ground transportation charges, game park entrance fees and any other increases in connection with the Travel Arrangement.
ACT may treat a booking as cancelled and levy cancellation charges, at its sole option, where circumstances outside of its control affect the provision of Travel Arrangements (such as flood, fire, act of God, war or threat of war, physical unrest, riots, civil disturbances, terrorist activities (threatened or actual), strikes, port or airport closure, technical problems with transport, alteration or cancellation of scheduled travel services) cancel scheduled Travel Arrangements at any time.

Not Included in the Vacation Price:
International Air Transportation tax; agricultural tax; any other taxes; security fee; airport taxes and fees; port taxes; passports; visas and vaccinations; tips to your driver, local guides, cruise ships; laundry; telephone; mini bar; alcohol, beverages, optional excursions; porterage at airports and train stations; travel protection; excess baggage fees; and all other items of a personal nature.

Participation:
For the benefit of everyone on your vacation, ACT reserves the right to accept or reject any vacation participant and to remove any participant whose conduct is deemed incompatible with the interests of the other participants.

Young Travelers:
Travelers who are less than 18 years old on the departure date must be accompanied by an adult. For any special requirements regarding airline tickets for children, contact your airlines directly.

Smoking:
Smoking is not allowed on transportation that is exclusively provided by ACT Travel.

Visas and Passports:
All passengers traveling internationally are required to have a passport. Most countries require that the passport be valid for at least six (6) months beyond the conclusion of your trip. It is recommended you have a minimum of three blank pages in your passport when traveling as many countries require blank pages. Multiple-entry visas are required for some vacations. You will need to check with your consulate to verify all requirements.

Accommodations:
The accommodations listed in the brochure or on the Web site are intended to be used on all departures; however, if a change becomes necessary for any reason, the accommodations substituted will be equivalent in standard to those shown. Every effort is made to reserve only twin-bedded rooms. It may occasionally happen that an accommodation provides some double-bedded rooms instead. These rooms will be allocated to couples. Please note that accommodation check-in times vary worldwide.

Holidays:
During local or national holidays or special events, on Sundays, and religious occasions, certain facilities such as museums, churches, restaurants, sightseeing tours, and shopping may be limited or not available. Alternatives will be offered whenever possible.

The Company reserves the right to accept or reject any person as a vacation participant; to expel any participant from the vacation; to make changes in the itinerary whenever the Company deems it necessary for the comfort, convenience, or safety of the participants; and to cancel a vacation at any time.
The vacation participant agrees that neither the Company nor its affiliates shall be liable for any damage, loss (including personal injury, death, and property loss), or expense occasioned by any act or omission of any supplier providing services, any insurer or insurance administrator under the Travel Protection Plan, or any other person.

Loss:
ACT is not liable for and accepts no responsibility for any direct or indirect loss, financial loss, consequential loss, loss of enjoyment, pain and suffering, damage, injury, accident delay or irregularity occasioned to the Customer, whether caused by act, omission, negligence or otherwise, while undertaking a Travel Arrangement, using the Services or arising from any booking.
ACT strongly recommend that the Customer insure themselves against loss of deposit, cancellation charges, medical expenses and loss of personal possessions, and any other foreseeable loss or expense.

Vouchers
Vouchers for booking arrangements and a copy of the Client’s itinerary will be issued to the Client on arrival by an ACT Travel representative.

LIABILITY and Insurance
With a simple business motto “ To satisfy even the most demanding custmers with the best services but at reasonable rate ”. ACT Travel will do our best to provide our distinguisded guests with the best services of its capacity. In order to ensure the high quality services of ACT, The 50% of tour cost will be refunded to its guests after the trip, in case, The provided services are not good as its commitment. 

Your clients are well advised to obtain personal travel insurance by themselves. In case, you request. Insurance fees is 1.5USD/day/ person, cover with accident insurance up to 1000 USD (one thousands US dollars) at Vietnam Insurance Company ( Bao Viet ).
